How to get into the portal, keep your HR record up to date, and where to get help in person.
Getting into the portal
- First time: activate your account
- Activate your account with your PF number, national ID number and KRA PIN, then choose your own password. No text message is needed. Activate Account
- Invited by HR: claim your account
- HR validates your phone or email against your personnel file, then sends an invitation. Open the link, confirm the one-time code, and create a password. Claim Account
- Sign in
- Use your staff number and password. Staff with HR roles, and anyone who turns it on, also enter a one-time code.
- Forgotten password
- We send a code to the phone or email HR holds for you. Recover Access
- Lost that phone or email
- Book an identity check at a claim desk and bring your original national ID. Two HR officers must approve any change to your sign-in contact.
Keeping your record up to date
- Details HR holds
- Your name, ID, date of birth and appointment come from your personnel file. If something is wrong, send a correction request with evidence; your record stays as it is until HR approves the change.
- Qualifications and experience
- Add the qualification or experience first, attach its evidence in the same form, then submit. Each entry is a claim until HR verifies it.
- HR questions
- If HR queries a claim, it returns to Action Needed in My Submissions. Reply there and resubmit; earlier versions stay on record.
- Decisions you disagree with
- Appeal from the decision within 30 days. A different officer decides the appeal. Track it under My Requests.
- Your data
- Ask for a copy of the data held about you under My Requests → My Data Requests. See the Privacy Notice.
